If you thinkthat there is a mistake, please make sure that you ask usto confirm any changes in writing, as we only acceptresponsibility for statements and representations made inwriting by our authorised employees and agents. .Please ensure that you read and understand theseTerms before you submit your Booking Request. You mayonly request a booking if you agree to these Terms. Bysubmitting a Booking Request you are deemed to haveaccepted these Terms. This does not affect your statutoryrights as a consumer..Forest Holidays LLP (referred to as "ForestHolidays/we/our/us") sells camping and caravanningholidays via www.forestholidays.co.uk (the "Website"),via its call centre, via email requests, via postal requestsand takes bookings direct at the Caravanning andCamping Sites (the "Site(s)"). Any person wishing tobook a holiday via any of these methods (referred to as"you/your") acknowledges that such booking is madesubject to these Terms..We reserve the right to change these Terms at anytime. Any such changes will take effect immediatelywhen posted on the Website, in the brochure, at theSites, or otherwise brought to your attention. It is yourresponsibility to read the Terms each time you submit aBooking Request and any such request shall signify thatyou have accepted to be bound by the latest set ofTerms. A copy of the latest set of Terms is available onthe Website and upon request..In addition to these Terms, there may be specific rulesand regulations which apply to individual sites. Pleasecontact the relevant Site Manager in advance of yourarrival if you require further details of any site specificrules and regulations.2. Making a Booking.When you wish to place a booking for a holiday("Booking Request") with us, you will complete abooking form (either on the Website, over the phone, byemail, or at the Site). It is your responsibility to provide uswith the correct information. If you have made theBooking Request via the telephone, we will read backyour details to you. You will be responsible for thebooking regardless of any input errors..The Booking Request is an offer by you to enter into abinding contract with us and we are free to accept ordecline your offer at our absolute discretion. .If we accept your Booking Request, we shall issue awritten confirmation (containing a booking referencenumber) accepting your Booking Request, unless yourbooking is made within seven days of your intendedarrival. This written confirmation shall signify that wehave accepted your Booking Request subject to theseTerms. At this point a contract shall come into existencebetween you and us on these Terms..By making a Booking Request you warrant that you areover 18, at least one person in your party will be over 18,you have the authority of all persons in your party tobook on their behalf, you accept these Terms and youagree that you will be responsible for any loss or damagecaused by you, any member of your party or animalaccompanying you..Bookings are not transferable to another party..Advance bookings are subject to minimum stays.These vary by Site and by season, please refer to ourprice list for further details. .Subject to availability, one night bookings may betaken during any season when made directly on arrival onSite and not booked in advance..Single sex groups and large groups are welcome at theSite Manager's discretion. Please make us aware at thetime of booking if you are an all male or all female groupor a group of 6 units or more. .On all our Sites, the maximum stay allowed is twenty-eight days, after which time your pitch must be vacatedfor at least three days before return to the pitch. You mayonly extend your stay up to a maximum of two twenty-eight day periods within one year. All twenty-eight daystays will qualify for a discount of 10% on the standardpitch fee in low and mid season (see current price list fordetails). At some of our Sites in the New Forest themaximum stay on the same pitch is 21 days which isstrictly enforced by the local governing bodies andcustomers will be offered an alternative pitch should thissituation arise.3. Prices .You will pay to us the price of your holiday as set out inour current price list..The prices are based on a daily rate unless otherwisestated. Prices include VAT at the current prevailing rate. .Whilst we will make every effort to ensure that ourprices remain unchanged, they may be amended at anytime prior to payment of the final balance. In suchcircumstances, you may cancel your booking up to threedays before your arrival date by giving notice in writing,by recorded delivery, and we will refund all monies paidin respect of the booking. .Prices do not include any additional services, featuresand facilities unless expressly stated..Pitch prices are for two people. Extra adults andchildren (aged 5-16 years old) can be purchased up to amaximum of six people on one pitch. Children under 5years old go free. For parties larger than 6 people,multiple pitches must be booked. Group bookings ofover six units may be accepted at the discretion of ForestHolidays, please call for details..Promotions or discounted offers are provided at thediscretion of Forest Holidays. All offers are subject toavailability, cannot be used in conjunction with any otheroffer or discounted and may be withdrawn at any time.Retrospective refunds are not permitted against any offeror promotion advertised after such time a booking ismade..Pitch Extras - These include pup tents, gazebos (of nolarger than 3m x 3m), double awnings (of no larger thanthe width or length of your caravan), large trailers (over1.2m) and an additional car. Forest Holidays allows you tobook one pitch extra per pitch. Prices for pitch extras areset out in our current price list. Pup tents are free ofcharge and must be no larger than 2m x 1.5m. Pup tentsmay be used by up to two under 16's and must beerected in the boundary of the pitch of theaccompanying unit. Pitch extras must be paid for at thetime of booking as we cannot guarantee that there willbe space. Site managers reserve the right to ask you toremove any windbreaks or gazebos. Individual Site rulesmay apply..Visitors - Forest Holidays are happy to accommodateup to four visitors per pitch per day. The prices foradditional visitors and cars are set out in our current pricelist, available at http://camping.forestholidays.co.uk/camping_caravanning/planning_your_holiday/prices.aspx. It isessential, for security and health and safety, that visitorsreport to the Site Manager immediately on arrival. Entryto the Site and parking on Site will be at the SiteManagers discretion. Visitors are required to leave theSite by 10:30pm or when the Site barriers are closed forthe night, whichever is the earlier. 4. Payment.Payment for bookings can be made by Debit or CreditCard. Please note that payments made by Credit orCharge Card are subject to a non refundable additionalcharge of a minimum of 2% of the total amount due (thischarge does not apply to payments made by DebitCard). Payment by this method confirms that you acceptthis additional charge. .Cheques will only be accepted if received by ForestHolidays at least 15 days prior to the start of yourholiday. Cheques are not accepted on site. Chequesshould be made payable to 'The Camping andCaravanning Club trading as Forest Holidays' and shouldbe posted to Forest Holidays, Greenfields House,Westwood Way, Coventry, CV4 8JH. .For bookings of three nights or less, the full cost of theholiday is payable at the time of booking. .For holidays of four nights or more, a non-refundabledeposit of £30 per pitch is payable at the time ofbooking. The balance of the price is payable when youarrive on Site. To facilitate a quicker check in on Site(particularly during weekends and peak periods) werecommend that you pay in full at the time of booking. .All Sites accept cash, Credit and Debit cards (with theexception of American Express cards). .Full payment will be required at the time of booking ifthe period of your stay encompasses a UK Bank HolidayWeekend. Forest Holidays Card holder will alsonot incur the charge of a booking amendment fee ifchanges are made up to three days before the start ofthe holiday. Full payment for the card is required at timeof purchase and is non refundable. Full details areavailable on the Website. Forest Holidays reserves theright to withdraw or amend the terms of the ForestHolidays Card at any time.6. Services, Features and Facilities.Site services, features and facilities may vary betweenSites. Details of Site services, features and facilities willbe prominently displayed in the reception area of eachSite. Features, facilities or services referred to in thebrochure or on the Website (e.g. bike hire, pony trekkingand boat hire) are subject to availability and may besupplied by third parties. You use these services, featuresand facilities at your own risk and Forest Holidays shallhave no responsibility for loss, damage or injury inrelation to any services, features or facilities provided orsupplied by third parties..Information about features, facilities and services atyour holiday, is, to the best of our knowledge and belief,accurate at the time of publication of the brochure andWebsite, however, Forest Holidays cannot guarantee thatthese services, facilities and features will be availableduring your holiday..Detailed price lists for individual services, features andfacilities can be found on our Website. All information onthe Website regarding prices is, to the best of ourknowledge, accurate as at the time of publication. 7. Pitches and Units.The price of your Unit is as detailed in our current pricelist. The prices for additional extras and services are alsocontained in our price list. .UnitA standard unit is a tent, trailer tent, caravan ormotorhome up to maximum of 8m x 6m, inclusive of guyropes. (A motorhome may tow a car with an A-Frame)..XL unitA unit which exceeds 8m x 6m. [These units are subjectto a supplement of £3.00 per night. If the supplement isnot paid at the time of booking, our site managers havethe right to request this additional fee on Site. Thissupplement came into effect on the 1st January 2010.] .Standard or Two-Person PitchAn undefined pitch to station your Unit on. The cost ofthe pitch includes the first two people in the party. Thisdoes not include electric hook-up or hardstanding.Space for one attached single awning or one toilet tentor a small trailer is also included in the two-person pitchprice. One car (or motorbike) may accompany all units onpitch. Additional cars (or motorbikes) will be charged forbut may not be situated directly on the pitch..Premium PitchAs per a Standard Pitch and includes electric hook-upand/or hardstanding. Cancellation and changes to your booking.If you cancel your holiday at any time after bookingand up to three days before your arrival at the Site:.you will be required to pay the first £30 per Pitchbooked; or.if less than £30 was paid at the time of booking, youwill not be entitled to receive a refund of the money paidat the time of booking..If you cancel within three days of your arrival date, youwill forfeit all money paid and owing on your holiday,including the cost of any Forest Holidays Card purchased.It is important to us that you understandthe terms on which we are making ouragreement. If you wish totransfer your booking to another location and/or date,we will use our reasonable endeavours to satisfy yourrequest wherever possible, but we shall be under noobligation to do so. 9. Arrival and Departure.It is important that you report to the Site Manager onarrival, before pitching and pay any outstanding balanceon your booking and any additional fees..Arrival times on Site are between midday and dusk. Ifyou wish to arrive earlier, please ring the Site Manager onthe morning of your arrival and they will do their best toaccommodate your request. There is a charge of £3 forarrivals before 12.00pm. Please inform the Site Managerif you are likely to arrive after dusk. .For advance bookings, if not notified otherwise, yourpitch will be held until dusk on your day of arrival, afterwhich it will be put up for re-sale and your bookingtreated as a cancellation with your deposit moniesretained. .Pitches must be vacated by midday on the day ofdeparture unless otherwise agreed with the SiteManager. Departures after midday are available subjectto availability and a charge of £3 per pitch. .Subject to availability, we accept bookings on all of ourSites up to dusk on your day of arrival.10. Management and Behaviour on Site.Our Site Managers are fully empowered in all aspectsof Site operation and management. Forest Holidays fullysupports its Site Managers in dealing with matters ofpolicy at their sole discretion when the need arises. Inplacing a Booking Request you agree that you and yourparty will at all times comply with requests of the SiteManagers..As the person booking the holiday, you are responsiblefor the behaviour of all members of the party whilst onthe Site. .Any wilful damage to the Site or other Forest Holidaysproperty will result in you being asked to immediatelyleave the Site. If you are asked to leave under thesecircumstances, no monies will be refunded..Our customers visit our Sites to enjoy the peace andtranquillity of the forest. If anyone does not respect this,the Site Manager reserves the right to refuse themadmission or ask them to leave the Site at any time. Ifyou are asked to leave under these circumstances, nomonies will be refunded..A behaviour bond of £20 per person may be requestedupon arrival at the Site at the discretion of the SiteManager. This will be refunded in full at the end of yourstay unless, in the opinion of the Site Manager, you havedisplayed unreasonable behaviour (this includes, but isnot limited to, excessive noise, wilful damage to the Siteor other people's property and abuse of our staff)..To respect the enjoyment of others, we ask that noiselevels are kept to a minimum after 10:30pm..To protect our forests, the burning of wood is strictlyprohibited. Charcoal only BBQ's are allowed, providingthey are raised off the ground. Open fires, fire pits andrope swings are also prohibited..Well-trained dogs are welcome on Sites that acceptdogs. Dogs must be kept under proper control and mustbe kept on a lead at all times. All traces of their presencemust be removed before you leave and any fouling mustbe collected and disposed of.11. Complaints.We want you to have an enjoyable holiday. Should youhave cause for complaint, please contact our SiteManager immediately who will try to resolve yourcomplaint and advise you of our complaints procedure.12. Information about you.At times we may request that you voluntarily supply uswith personal information. Generally this information isrequested when you request information and/or servicesfrom us. We may gather and use information about youin the following ways:.We will use your personal Information and informationwe obtain from other sources for administration andcustomer services, for marketing, to deliver our servicesto you, to analyse your purchasing preferences and toensure that the content, services and advertising that weoffer are tailored to your needs and interests. We mayneed to share your information with our service providersand agents for these purposes (for example, with TheCamping and Caravanning Club). .We intend to continue improving the content andfunction of our Website.
